Pre event

  • Initial consultation to explain the coordination process;
  • Phone & email communication from date of contract;
  • Advice on how to personalize your ceremony;
  • Budget planning and tracking;
  • Arrange all vendor appointments and handle all negotiations about pricing and services;
  • Assistance with transportation needs and arrangements for the Event;
  • Creative ideas and advice to make the Event unique;
  • Assistance with ordering and choosing the design template for wedding invitations, programs and stationery;
  • Providing a list with names and contact details of all vendors;
  • Vendor referrals in all vendor categories of only the finest as affordable by the Client, most reliable vendors in the industry including caterers, decorators, photographers, musicians, invitation and favor suppliers, etc;
  • Scheduling and attending vendor meetings and negotiations;
  • Timeline development and ensuring they are followed;


  • Hands on service throughout the duration of the Event
  • Manage vendors per Client’s instructions – Planner will be available in person and by telephone during the entire event day to assist vendors with any problems or questions.
  • Manage vendor & décor setup at ceremony & receptions sites
  • Organize & distribute all engagement favours
  • Provide Bridal Emergency Kit – aspirin, mints, sewing kit, etc.
  • Facilitate the engagement ceremony and reception
  • Properly cue musicians and MC’s  Develop & distribute Event Day Itinerary;
  • Place table names, place cards, favors, toasting glass & serving set per your instructions;
  • Coordinate entertainment and all announcements/events during event;
  • Be prepared to meet any emergency situation that may arise


  • Ensure payment of vendor tips and balances
  • Return any personal or rented items to their owners
